Property management firm C.G.S. manages properties for almost 6,000 clients throughout France. The company’s inventory includes tourist rentals, serviced apartments, corporate accommodations, apartment hotels, student residences and accommodations for seniors.
In 2012, C.G.S. noticed that its staff spent an inordinate amount of time printing documents, stuffing envelopes and metering mail. The company needed a solution that could increase productivity, reduce costs and boost efficiency. Preparing to mail invitations, meeting minutes, contribution solicitations and other pieces of business correspondence is a time-consuming task and must be precisely timed and executed within the legal timeframes required by statutes affecting many official business meetings. One full-time staff member was responsible for this laborious task, the most complex part of which was managing the peaks in activity at the end of each quarter and at the start of the year.
“We knew the service came at a cost but we decided nevertheless to invest in an outsourced solution for our mailings. “We send out around 1,000 letters every month all over France and internationally. We opted for Neotouch as an outsourced solution and we now use the service to send 100 percent of our mail. We are very happy because we have streamlined our mailing process. In a couple of clicks, letters are generated on our PCs, and from there, Neotouch takes care of the printing, envelope-stuffing, metering and postage,” Bouzat explained.
The Neotouch Syndic solution offers a dedicated interface for agency businesses dealing with mail processing for meeting invitations, minutes or calls for contributions. It has been designed to streamline the bulk mailing of physical and electronic communications.
